Privacy Policy
Last updated: 15 September 2026
This Privacy Policy explains how Northwestern Solutions and the Ghana Golf Association, as organizers of the Head of State Invitational Golf Tournament (“we,” “us,” or “the Organizers”), collect, use, and protect personal information in connection with the website headofstategolf.com (the “Site”) and the Head of State Invitational Golf Tournament (the “Tournament”). We aim to handle personal data responsibly and in line with Ghana’s Data Protection Act, 2012 (Act 843).
1. Information We Collect
We collect information in a small number of ways:
- Information you give us directly — such as your name, phone number, or email address when you contact us by phone, email, or through a registration or enquiry form on the Site.
- Registration & participation details — such as playing category, affiliation, or dietary/accessibility needs, where these are requested as part of registering to attend or play in the Tournament.
- Donation-related information — registration is free; where you choose to make a voluntary donation to the HOS Foundation, we retain limited details needed to confirm it (such as the amount and payment reference). The Site does not process card or bank details directly — donations are handled through Paystack.
- Photographs and video — captured at the Tournament and related events for use as described in Section 3 below.
- Basic technical data — such as browser type and pages visited, which our web host may log automatically to keep the Site secure and functioning. The Site does not currently use advertising or analytics cookies.
2. How We Use Your Information
We use the information we collect to:
- Respond to enquiries and process registration or attendance requests;
- Coordinate Tournament logistics, including with Achimota Golf Club and event partners;
- Communicate updates about the Tournament to registrants and enquirers;
- Maintain the security, and improve the operation, of the Site;
- Comply with legal obligations and enforce our Terms of Service.
3. Photography & Media
As described in our Terms of Service, the Tournament is photographed and filmed, and images or footage in which you may appear can be published in the Site Gallery, on our social media channels, and in sponsor or press materials for promotional and archival purposes. If you would prefer not to appear in published media, please contact us in advance of the event using the details in Section 8.
4. How We Share Information
We do not sell personal information. We may share it with:
- Event partners & sponsors involved in organizing or running the Tournament, where necessary for logistics such as venue access, catering, or accreditation;
- Service providers who support us, such as our website host or email provider;
- Authorities where required by law, or to protect the safety of guests, staff, or the public at the event.
5. Data Retention
We keep personal information only for as long as reasonably necessary for the purposes described in this Policy — for example, for the duration of a given Tournament edition and a reasonable period afterward for record-keeping — unless a longer period is required by law. Published photographs and video may be retained as part of our archive of past editions.
6. Your Rights
Subject to applicable law, you may ask us to confirm what personal information we hold about you, correct inaccurate information, or delete information we no longer need to keep (for example, contact details from an old enquiry). Requests can be made using the contact details in Section 8, and we will respond within a reasonable time. Please note that this does not extend to published photographs or video that form part of the Tournament’s public archive, except in exceptional circumstances.
7. Third-Party Links
The Site links to third-party platforms such as Instagram and displays sponsor logos linking to sponsor websites. We are not responsible for the privacy practices of these third parties, and we encourage you to review their respective privacy policies.
8. Contact Us
For questions about this Privacy Policy or to make a request about your personal information, contact us at hello@headofstategolf.com or 024 451 0340.
9. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. The “Last updated” date above will be revised accordingly, and material changes will be reflected on this page.
